Here you’ll find two sets of terms and conditions. One for Challenges and another set of rules and conditions for registering for our Treks.

Challenge terms and conditions

The following agreement has been put together to help you fundraise within the guidelines of the Charity Comission. The staff, volunteers and fundraisers are asked to upload the reputation of the charity by adhering to the terms stated.

I will:

  • Do my utmost to reach the minimum sponsorship target set for this event, and inform Teenage Cancer Trust if I think I will not be able to reach the target.
  • Abide by the terms and conditions set out by the event organisers on their website (or by request), and their conditions of entry.
  • Not to do anything to bring Teenage Cancer Trust into disrepute.
  • Obtain and pay into Teenage Cancer Trust all monies raised within 30 days of my fundraising activity.
  • Follow the instruction of any safety marshal at the event.
  • Obtain approval from Teenage Cancer Trust for any material bearing the Teenage Cancer Trust name or logo, or that describes the work of the charity prior to printing and distribution.
  • Ensure that all materials include the text “Registered Charity No. (UK & Wales)1062559,(Scotland) SC039757”.
  • Not carry out collections, lotteries or raffles without the necessary licences and permissions.
  • Inform Teenage Cancer Trust of any event that requires public liability insurance.
  • Return any unused branded materials to Teenage Cancer Trust.
  • Pay for tickets to attend Teenage Cancer Trust events.
  • Ensure all prizes, including those for auctions and raffles are donated.
  • Work with Teenage Cancer Trust member of staff to agree a budget and risk assessment for any events.
  • Ensure a member of Teenage Cancer Trust staff reviews any contracts before they are signed.
  • Ensure all personal data is only available to staff of Teenage Cancer Trust.
  • Contact Teenage Cancer Trust before approaching a celebrity so we can co-ordinate all contacts and have a record of who has been approached and by whom.
  • Where possible meet the costs of events by sourcing sponsors and manage cash flow so as not to require Teenage Cancer Trust funds in event management.
  • Contact Teenage Cancer Trust before approaching national companies so as to avoid duplication of contact and let Teenage Cancer Trust fundraising team know of any useful contacts who wish to support the charity in the future.
  • I agree to pay all proceeds from the event to Teenage Cancer Trust, and I understand that Teenage Cancer Trust may terminate my rights to raise funds at any time.

Declaration

I understand that I should seek medical advice from my general practitioner (or as appropriate, medical specialist) if I am in any doubt about my physical or mental ability to take part in this event. I acknowledge that I am undertaking this activity entirely at my own risk, and have not been induced by Teenage Cancer Trust to participate in this event, which I do entirely of my own free will. Subject to applicable law, I acknowledge and accept that Teenage Cancer Trust shall not be liable in any way for any physical or mental harm, loss or damage that might occur as a result of my participation in the event. Furthermore, I understand that, subject to applicable law, Teenage Cancer Trust will in no way be liable for any claim from any party (including myself) that might arise from this event, howsoever caused.

Rules for Trek registration

To register for the trek please read the information carefully and send the completed form with your cheque or card details for registration made payable to Teenage Cancer Trust.

COMMITMENT

All participants are required to raise a minimum sponsorship in order to take part. Teenage Cancer Trust is invoiced for the cost of the trek 8 weeks before departure. Each trekker will therefore be required to raise, as a minimum, 80% of their fundraising by 8 weeks before departure.

By providing your card details, should you not have raised the minimum by this date you are guaranteeing payment for any costs incurred by Teenage Cancer Trust as a result of your withdrawal after this date. We will NOT charge this card without prior consultation with you.

INSURANCE

A comprehensive travel insurance policy is essential. Please provide us with the name of your insurance company, policy number and 24hr emergency phone number no later than eight weeks before the departure date.

MEDICAL REQUIREMENTS

All participants will be required to provide evidence of their fitness to undertake the trek. A pro-forma certificate will be provided to all entrants that must be completed and signed by their doctor and submitted to the Teenage Cancer Trust at least eight weeks before departure. Any material condition that subsequently occurs before departure must be notified in writing.

ANY PARTICIPANT UNDERTAKES THESE TREKS ENTIRELY AT HIS OR HER OWN RISK, AND EXPRESSLY HOLDS HARMLESS TEENAGE CANCER TRUST FOR ANY LOSSES, COSTS, CLAIMS, DEMANDS, DAMAGES AND EXPENSES WHATSOEVER WHICH ANY PARTICIPANT MAY INCUR AS A RESULT OF ENTRY INTO AND/OR PARTICIPATION IN THE TREK.

Rules and conditions of entry

  • Payment of registration fee is non-refundable.
  • Each entrant will be required to raise 80% of the minimum donation to be received by the Teenage Cancer Trust eight weeks before departure.
  • Gift Aid enhancement does not constitute part of the minimum donation but will increase it.
  • Each entrant must comply with medical requirements by submitting a medical certificate (provided by the Teenage Cancer Trust) signed and completed by his or her doctor indicating their fitness to participate in this trek eight weeks before departure. These certificates will be vetted by our medical panel - whose decision is final and any material condition that subsequently arises before departure must be notified in writing to the Teenage Cancer Trust who will determine at their absolute discretion whether or not an entrant is nevertheless fit to participate.
  • Entrants must have reached the age of 18 years by the date of departure as stated.
  • All entrants must satisfy Teenage Cancer Trust that they are covered by insurance for the trek. Any additional insurance that entrants deem necessary is the responsibility of each individual. Any participant undertakes the treks entirely at his or her own risk, and holds harmless Teenage Cancer Trust for any loss, costs, claims, demands, damages and expenses whatsoever which any participant may incur as a result of entry into and/or participation in the trek.
  • Anyone failing to meet these requirements by the eighth week before departure will not be able to participate in any trek.
